Privacy & Support
Your child’s information.
Handled with care.
Children's learning data deserves to be treated carefully.
Collect what is needed.
Children sign in with a made-up username rather than their real name.
Parent or guardian authorisation is required before access.
FPA does not use advertising, public pupil profiles or social sharing.
The aim is simple: collect what is needed to run the learning programme properly, and don't collect things merely because a system allows us to.
School choices
If you save school choices, we keep the selected school names and optional Year 7 entry year in the pupil account. Anyone using that pupil login can see or change them. We use them to show your saved shortlist and preparation guidance. They are not sent to schools, Stripe or an AI service. Clear them on the School finder page at any time; account erasure also removes them. We do not keep a history of removed choices.
Writing Academy beta
Writing Academy is optional and included for active FPA pupil members. Before writing is saved or uploaded, a parent or guardian must read this notice and confirm their authority and agreement in the pupil account. This records an adult declaration; it does not separately verify the adult’s identity. Children can type a piece or upload photographs. Please leave real names, school names and contact details out of the writing and photographs.
We store drafts, photographs, feedback and the help used in the existing protected FPA service. Cloudflare Workers AI reads the writing and prepares a draft response. We use Kimi for checked teaching suggestions; earlier feedback used Llama. We send the challenge, writing, page images and help used, not the pupil login, parent email or billing details. Writing can still contain personal information, so please check pages before uploading. Cloudflare says it does not use this content to train its models or improve services without explicit consent. We do not give that consent. Processing is not promised to remain in the UK.
In this first beta, FPA’s founder checks each response before it reaches the pupil. AI can misread handwriting or suggest the wrong next step. The feedback is guidance on one piece, not a statutory Year 6 assessment or a diagnosis. Use “Please check this” to flag a problem.
After approval, feedback is available in the pupil account. We aim to email it to the verified parent address after 48 hours; teacher checks may take longer. IONOS sends the email. This does not subscribe you to marketing. Writing records and page images are removed after at most 180 days of inactivity, with queued image removal on the following hourly maintenance run. Account erasure also removes linked writing records. Contact FPA to leave the beta or ask for access, correction or deletion.
Joining and account emails
We check your email and ask you to confirm that you are allowed to manage your child’s account. We then use that address to send their sign-in details. An invitation code can provide access without payment. Unfinished sign-ups are deleted after 24 hours. We store a one-way protected version of each access code to check sign-ins. An encrypted copy is kept only while the sign-in email is waiting to be sent, then deleted after sending or within 24 hours of account setup. We keep the contact and email-delivery records needed to support your membership. If an account deletion request is approved, those records are deleted or made anonymous too. These emails do not sign you up for marketing.
If you forget the pupil login or access code, recover access here. We check the parent email already linked to the account before allowing a new code. Recovery codes expire after 15 minutes, and the temporary recovery record is removed within 26 hours. Resetting a code signs that pupil out on other devices; it does not delete their work.
Optional weekly summaries
If you choose weekly parent emails, we use the verified email already linked to your child’s account to send a Monday-morning summary when there are completed weekly results. The summary includes scores and a useful next step. This is optional and is not a marketing subscription. We record your choice and keep a delivery receipt to avoid sending the same summary twice. Change your weekly email choice at any time, or use the stop link in a summary. A message already being sent may still arrive.
Free Diagnostic
What happens to Diagnostic information.
For the Free 11+ Diagnostic, we keep the adult’s email address, their permission and privacy confirmations, a record that the email was checked, the pupil’s answers and result, and the details needed to send or resend the result. Cloudflare runs the application and stores the protected Diagnostic record; IONOS Mail Basic sends the verification and result emails.
A verification that is not completed is removed within 24 hours after it expires. A verified Diagnostic that is not completed is removed after its seven-day completion window. We keep a completed Diagnostic linked to a person for no more than 90 days after completion. We may delete it sooner following an approved request, or keep it longer if there is a recorded legal reason. We may keep a brief anonymous record that the process took place for up to 12 months. It contains no detailed answers, result or email address, and cannot be linked back to them.
Result delivery does not sign you up for marketing. Resends use the same verified address while the result remains available. A different address must be verified first. To ask about access, correction or erasure, email kevin@fullpotentialacademy.co.uk. If we restore a backup, we apply the same deletion decision before using those records again.
Payments and subscriptions
Billing stays separate from learning.
FPA uses Stripe to process membership payments and recurring subscriptions. Stripe receives the parent/customer and payment information needed to take and administer the payment. FPA does not receive or store full card details.
We do not send your child's name, pupil alias, school, 11+ route, Diagnostic answers or results, progress, feedback or other learning information to Stripe for payment processing.
We keep only the payment and subscription details needed to run your membership. Billing information is kept separate from pupil learning records.
We use payment information to take and administer membership payments, deal with cancellations and refunds, manage access linked to an active subscription, handle billing queries and meet applicable accounting or legal obligations. We keep payment-related records only for as long as needed for those purposes and any legal record-keeping requirements.
